FL Structure: organize shared folders and team rights

For a business service, Agedis created a new tree structure, its access groups and its permissions, then made the requested adjustments over time.

FL StructureMarch–April 2026

The stage machinery department needed spaces that fit their work. Some collaborators had to modify the documents; others, consult them. The project associated an organizational decision and its translation in the file server.

  1. Validating Persons and Roles

The manager confirms the employees and the necessary rights before their implementation.

  2. Create the spaces

Folders, subfolders and groups are prepared in the working environment.

  3. Adjust with use

A reversal of permissions has been corrected; new openings remain subject to the list of persons to be authorized.

Spaces created and rights adjusted; additional developments in follow-up

Starting from the way of working

A team of machinery wanted to replace a space that was little used by an organization closer to its business. Two families of documents had to be distinguished, with different rights depending on the individual: some could change the content, while others only had to consult them. The request also addressed the possibility of creating new files. The subject thus associated the organisation of documents, the business responsibilities and the operation of the file server.

Validate needs before applying them

Before modifying access, the technician requested validation from the organization manager and confirmation of the groups concerned. The list has been completed to take into account the people who need to consult the documents. This step prevents an IT adjustment from replacing a business decision: managers specify who needs what, then the system team translates this need into folders, groups and server permissions.

Create, check and correct

Folders, subfolders and groups were set up at the beginning of April 2026. The team also asked to be notified when new spaces were created to verify that read and write rights applied correctly. The follow-up then revealed a reversal of permissions between two sets of documents; the technician identified and corrected it. The exchanges therefore do not stop at the initial creation: they accompany the actual use of the tree structure.

Keep developments under control

A new reading opening to other services was then considered. She remained awaiting the final list of persons and rights to be retained. This distinction between what is created and what still requires validation helps to keep an organization legible. For Agedis, administering a file server also consists of accompanying these decisions over time, with managers and users, keeping comprehensible access perimeters.
