Missions carried out in coordination with Strasbourg Events. SPIE is the organizer of the hosted event.
The client, the event and the roles of each
Strasbourg Events coordinates the services on the conference site and acts as the contact point for the team Agedis. SPIE is the organizer of the scientific congress hosted. This distribution gives a framework to the work: the persons responsible for the event specify the course and the spaces; the IT team prepares the posts, connections and accompanying tasks entrusted to it.
The mission is part of cooperation with local services. The site network settings and Wi-Fi were taken care of by Strasbourg Events in the course of 2024. The Agedis contribution concerned the equipment and interventions planned in the joint schedule, with coordination at the time of preparation and start-up.
2024: prepare 27 spaces in a limited assembly time
For the 2024 edition, preparation had to take into account the succession of events at the Palais des Congrès. The site was vacated late and the start of operations was scheduled for Sunday. The installation and final checks therefore had to be organized within a short window.
The schedule sent by the NICT manager listed 27 presentation spaces, the computers to be made available and the necessary connections. It also provided a space for preparing presentations, called “preview”, with workstations and a server. This organizational work brought together the rooms, uses, materials and people present for assembly.

Prepare positions and check their connections
The preparation combines computers, screens and the connections that will allow them to be used. The team organized the stations and connections at the planned locations, in conjunction with the site’s contacts. The photographs from April 5, 2024 show these gestures: installation of laptops, passage under the tables to connect the stations and checks in front of the devices.
The feedback from the NICT manager also cites the resolution of connectivity problems at the end of assembly. These are concrete adjustments: an installation must be usable in its context, with the equipment actually present and the people who take over. Preparations and checks are part of this work before opening.
Support the preparation of presentations and operation
The mission included a team presence around the preview and start-up assistance. The schedule allocated the preparation and support slots during the congress. Monitoring made it possible to identify the stakeholders, the tasks to be taken up and the points to be discussed with the site manager.
After the 2024 edition, Strasbourg Events thanked the team for its investment, vigilance, work around the preview and screens. The message highlights the contribution of a team to a collective event, together with the other services and providers involved.

2026: a new mission and renewed recognition
The 2026 edition also mobilized the team. The mission combined technical presence and the provision of a server environment with private cloud. The support of the systems and the human organization thus remain linked to the needs of the event.
In April 2026, the NICT manager of Strasbourg Events transmitted to the Agedis team the congratulations and thanks received at the close of the congress. They praised the quality of the service provided around the event. This recognition relates to a collective success to which Agedis contributed, in coordination with the principal and other stakeholders.
What this experience brings to your project
A temporary event and a daily business share a number of needs: having suitable equipment, understanding who is involved, preparing accesses and checking usages before a deadline. For a next project, we start with your progress, the people involved and the points that must be ready for start-up.
The proposal specifies the preparations, the availability of equipment and the assistance slots to be organized. Feedback helps to ask these questions in time and then keep track between the request, interventions and adjustments that appear in actual use.
